Twilo Creative, a website design and digital marketing agency, is seeking a highly organised and efficient individual to join our team as a PA/Office Manager. In this role, you will play a crucial part in ensuring the smooth functioning of our office and providing excellent support to the team. You will have the opportunity to work closely with the management team, suppliers and clients to help achieve our goals.
• Answering the phone in a professional and friendly manner, ensuring callers feel welcomed and valued.
• Managing client relationships by providing excellent customer service and addressing any enquiries or concerns promptly and effectively.
• Collaborating with the management team to ensure project deadlines are delivered and coordinating efforts to achieve timely completion.
• Booking meetings, scheduling appointments, and organising the calendar to optimise productivity and time management.
• Attending client and staff meetings, preparing accurate and concise minutes, and distributing them to relevant parties.
• Organising and submitting payroll, ensuring accurate and timely processing of employee salaries and benefits.
• Sending client invoices and processing payments, maintaining accurate financial records, and managing accounts receivable.
• Paying supplier invoices promptly and maintaining positive relationships with vendors.
• Communicating with recruiters and actively sourcing new candidates to support the hiring needs of the agency.
• Proofreading various types of content, including website content, blog articles, social media posts, and email campaigns, to maintain high quality standards.
• Assisting the marketing team with generating and analysing KPI reports to track performance and measure the success of marketing efforts.
• Working directly with clients and suppliers to address their needs, resolve issues, and maintain strong business relationships.
• Ensuring the office is fully operational by managing office supplies, equipment maintenance, and coordinating necessary services.
• Proven experience as a PA/Office Manager or in a similar administrative role.
• Excellent communication and interpersonal skills, with a friendly and professional demeanour.
• Strong organisational and time management abilities, with the capability to prioritise tasks effectively.
• Attention to detail and the ability to maintain accuracy in a fast-paced environment.
• Proficient in using office software and equipment, including Microsoft Office Suite and basic accounting software would be helpful but not mandatory.
• Ability to handle confidential information with discretion and maintain a high level of professionalism.
• Familiarity with digital marketing concepts and website design is a plus.
